Assign and Process Purchase Requisition - ME57
Description:
ME57 is used to assign a purchase requisition to a vendor and process/transform it into a purchase order. A purchase order is a legal document used to record an individual purchase (negotiated terms, conditions and pricing) with the vendor or arrange for a delivery based on prior agreement. It also provides the vendor with a reference document to link to shipping (goods receipt) and invoicing (invoice verification) processes. The purchase order is a commitment to a vendor for a given material, in a specified quantity at a pre-determined price and delivery date.
Preliminary Steps:
Information records need to be created for the vendor/material relationship.
Detailed Steps:
1. In the iPanel, My SAP Roles, select XX: All Transaction Role>ME57 - Assign and Process Purchase Requisition. If you are in another transaction screen, enter/nME57 in the command line and click Enter.
2. Enter or select data for the following mandatory fields:
* Vendor
* Date
* Purchasing Organization
* Purchasing Group
3. Enter criteria or a range of criteria in the fields below to locate the purchase requisitions:
* Purchase Requisition
* Purchasing Group
* Material Material
* Material group
* Req. tracking number
* Scope of List
* Plant
* Document Type
* Item category
* Acct. assignment category
* Delivery date
* Release Date
* MaterialsPlanner/Controller
* Processing Status
* Fixed Vendor
* Requisitioner
* Short Text
* Sort Indicator
* Assigned purchase Requisitions
* Closed Requisitions
* "Partly Ordered" requisitions
* Released Requisitions Only
* Requisitions for overall release
* Requisitions for item release
* Cost Center
* WBS Element Element
* Order
* Asset Business object
* Asset subnumber
* Network

4. Click Execute.
5. On the Assign and Process Purchase Requisitions screen, place a check in the box in the left-hand margin for the requisition that needs to be assigned.
6. Click on the Assign Automatically radio button. The information filters in (highlighted in green) below the bottom of the record that is being processed.
Note: This line contains information on where the pre-existing relationship between the vendor and material (it may be a contract or info record) has been found.
7. Place the cursor on the green line or in the check box in the left-hand margin.
8. Click Assignments.
9. Put the cursor on the last white line under the Vendor heading and click on the "Process Assignment" button.
10. Press Enter.
11. On the pop-up window Process Assignment: Create PO click on the green Enter button . The conversion from requisition to PO will take place with the vendor assigned to the PO.
12. The screen Create Purchase Order: Selection List: Purchase Requisition will be displayed. Click the box in the left-hand margin to select the requisition items that need to be converted to a PO.
Note: The "N" (not edited) in the "S" column (processing status). This means that the requisition has yet to be converted to a PO.
13. Click Adopt.
14. Enter or select the information in the fields specified below:

15. Click Enter.
16. Click Save. A message is displayed: Standard PO created under the number XXX.
